Homebase, a platform that helps hourly‑team businesses schedule and pay staff, has launched an AI assistant that can find replacement workers, build schedules, screen candidates and flag payroll errors before a pay run. The assistant automatically contacts staff who fit the owner’s preferences and history, and owners still keep the final approval. Homebase said its earlier AI tools have handled more than 4.7 million admin tasks since 2025. The move follows a broader industry trend where AI is being built to finish tasks rather than just report them.

Shift coverage workflow

A common use case for the assistant is a last‑minute sick call that leaves a shift uncovered. The software first detects the gap, then checks employee availability, proposes a replacement, and sends an outreach message only after the owner signs off. When the replacement accepts, the schedule is updated automatically. The process is designed to reduce the owner’s back‑to‑back decision making during a busy day.

Beyond shift filling, the assistant can draft job postings, screen resumes, book interviews, and verify time‑card entries. It flags missing punches and other payroll‑related errors so that owners can correct them in one go. The tool also monitors overtime trends and discrepancies between scheduled and worked hours, giving owners a chance to adjust staffing before costs accumulate. These functions are built on the same platform that links scheduling, payroll, hiring and point‑of‑sale data.

Company scale and impact

Homebase reports that more than 150,000 small businesses use its software, and that the company’s AI products have saved over 50 million hours of work since 2025. In one cited example, a Florida pickleball club processed more than 3,000 applications and saved more than 1,000 hours through AI‑powered screening. The firm estimates that its suite of AI tools has handled more than 4.7 million administrative tasks.

The assistant is currently in a limited rollout, and Homebase has not yet disclosed a pricing model or a date for broader availability. By testing the system in real‑world settings, the company hopes to learn how the AI handles different staffing patterns and edge cases. Owners will decide whether the automation reduces their administrative burden without creating a new queue of decisions.
